Creating an Event

To create the new event select the Start New Event menu option from the File menu. It will pop up a New Event Settings dialog as shown below.

The New Event Settings dialog presents several options of information that should be provided. These include: 
  • Event Name
  • Event Date
  • Event Number (used for Points control - can be changed at a later time) and is not used in the tutorial example.
  • Number of Runs (dictates the number of timing data columns that will be displayed in the Registration/Standing Grid)

Optional: (not used in tutorial)

  • Two Day Event. If a 2 day event is selected, the Registration Grid will contain a second set of timing data columns and the Total Time column we contain the sums of the best runs for from day 1 and day 2.
  • Auto-populate members or all entries from a Membership File automatically.
  • Create with Optional Columns: this will add several additional data columns to the Registration/ Standing Grid. 

Once you are finished with providing the information in the dialog, press the Make Event button and the Event will be create.

Note: The Event Name and Event Date are used on all the reports so it is important to provide them.

Also: note that you can specify a membership file but not load it for each event.  If the "Auto-populate membership from File" check box is not selected, then membership data will not be loaded into the new event. 


A New Event takes shape

The following main screen demonstrates what the event will looked like, after you provide the data above.  As you can see it contains the foundation for registering entries and starting the event. We're almost there. Before we continue, however, please assign the event a new file name using the Save Event or Save Event As function (as see below).


Saving the event to a New Event File

Once an Event has been created it is important to save it using the Save Event command from the File menu (or the Toolbar icon). A normal Windows style Save File dialog will displayed.  

Three (3)  files will be created:

  1. *.ecf (Event Control Files) - this contains the event settings and configuration parameters including the class definition file location, the names of the registration and staging data files, and other basic settings.
  2. *.rgg - the Registration data file.  This will contain the registration data and all recorded timing data, including standings information.
  3. *.st1 - the Staging data file.  For 2 day events, 2 files will be controlled by the program (*.st1 and *.st2 - the latter represents data for the 2nd day of the event).

Once you save the file the "axuntitled" name in the title will change to the name you specify.  In addition, several functions in the program will warn you if you try to control things without first saving the file.
